Job DescriptionBackground

KPMG provides Audit, Tax and Advisory services to clients with these client-facing functions supported by a central function, KPMG Business Services (KBS). Within KBS, the firm has an established Procurement function resourced with qualified procurement professionals responsible for supporting the firm’s £450m+ expenditure on bought-in goods & services. The Procurement function‘s objectives are:
- To be regarded as an invaluable business partner by the firm’s Infrastructure functions (in particular Facilities, HR , Marketing and IT) and by the wider business functions (Audit, Tax, Advisory and Markets)
- To drive the continuous improvement of third-party goods & services and minimise the risks associated with commercial contracting activities through the application of best-practice procurement across the firm
- To support the business with technology investments to enable profitable revenue growth
- To deliver year-on-year financial benefit to the firm
- To offer rewarding development & career opportunities

Overview of the Position / Key Responsibilities

Procurement’s sourcing activities are managed by five category teams; Facilities, HR & Corporate Services, Marketing, Technology and Travel. Each category team is made up of outsourced on-shore/near shore category-specialist procurement professionals and led by a KPMG Category Manager, each reporting to the Head of Procurement. Travel spend for KPMG UK is circa £80m per annum.

The Travel Operations Manager is responsible for the operational management of the UK’s business travel requirement, thereby maximising the contribution of the Travel category to the firm through the effective management of the UK’s travel providers (i.e. the Travel Management Company, preferred airlines and hotels.
In addition, they will provide daily operational support to the Travel Manager and Category Manager and respond to issues or queries raised by KPMG travellers or travel bookers. The Travel Operations Manager’s key responsibilities include:

Operational Management

- Develop relationships with key internal stakeholders to obtain support in the delivery of the Travel Services category objectives. Therefore, the Travel Operation Manager will need to have the ability to communicate confidently and clearly at all levels.
- Work with the Travel Engagement Lead to heighten the visibility of the Travel and Venue Services team across the firm.
- Manage the day to day operational aspects of Travel and Venue Services to ensure firm wide satisfaction.
- Support with supplier management of key UK travel providers. These include hotels and ground transportation providers.
- Identify areas that could improve the service provided and present recommendations to the Category Manager for implementation and manage the UK implementation of any sourcing activities.
- Working alongside the other Travel Operations Manager to help manage the daily operations of the Travel Management Company and Venue-Finding company. This will involve management of service issues, KPI reporting, escalation of non-compliance to terms and conditions etc.
- Responsible for travel compliance reporting and ensuring all spend is tracked on quarterly basis and updated to Category Manager.
- Ensuring suppliers are committed to continuous improvement and looking at improving or implementing processes that can be introduced to make the service more efficient.
- Liaise between external suppliers and internal stakeholders on venue-finding aspect of key internal events ensuring we are leveraging best rates and terms for KPMG.
- Supporting and helping to manage processes during travel disruption to ensure travellers are safe and supported in journey’s home.

Team Player

- Ability to work effectively in a culturally diverse team and adapt style of working to accommodate different country practices.
- Actively supporting the Procurement Leadership Team in their pursuit to improve the operations & performance of the function.

Analysis

- Support the Category Manager and Travel Manager in their strategic management of the category by interrogating the firm’s financial systems and highlighting cost creep and/or areas of procurement opportunity.
- Significant ability to interpret data and understand the cost implications of supplier proposals, including the ability to interpret company accounts and highlight any areas of concern.

In particular the position requires:

- Operational procurement experience in the Travel area (hotels, airlines, travel management companies etc),
- Literacy – ability to understand and author basic business documents including reports, business cases, terms of reference, Requests for Proposal, contract documentation etc.

Qualifications and Experience

- Degree qualified (or equivalent).
- Ideally experienced in operational travel procurement or equivalent commercial roles. Relevant industry experience; Professional Services, Financial Services etc. is desirable although not essential
