Job DescriptionRole & Responsibilities

Procurement’s sourcing activities are managed by four category teams; Facilities, HR & Corporate Services, Technology and Travel & Marketing. Each category team is made up of category-specialist procurement professionals, led by a Category Manager, each reporting to the UK Head of Procurement.

The Travel Engagement Lead is responsible for delivery and ownership of the Travel and Venue Services Engagement programme. This will involve developing and finalising annual engagement strategy for both internal and external facing activities.

The strategy promotes the Travel and Venue service within the Firm and ensure all KPMG travellers and arrangers are aware of key policies and important changes that may affect them. Communications are across a wide range of mediums including; WebEx, face to face, email alerts, newsletters and HUB activity.

The role works closely with the Travel Management Company, KBS team, KPMG’s travel stakeholders and the internal communication team.



Engagement

- Ownership of the annual engagement strategy. Identifying new ways to communicate, monitoring the success of strategy and making recommendations for change. The engagement plan should include details such as dates, methods of communication/engagement and audience. The engagement strategy is regionally focussed and supported with regional visits and visibility in all areas across the UK

- Maintaining a strong relationship with the Business Support team within all levels. This will include attendance at BSM meetings, quarterly updates and business support team meetings, hosting a 3 hour Travel and Venue Services training course for all new joiners, co-ordinating and hosting Hotel and Airline Booker events throughout the UK.

- Full co-ordination and project management of annual roadshow.

- Ownership of Travel and Venue Services quarterly newsletter, internal KPMG Travel portal pages and KPMG Travel and Venue Services HUB page. Promoting Travel and Venue Services presence across a number of mediums to build understanding and compliance of the service.

- Ownership and operational management of pre-trip and post trip communications. Utilising the TMC’s automated messaging wherever possible to ensure relevant and automated communications are sent per trip. Maintain a strong relationship with KPMG’s Security team to ensure relevant messaging or communications are updated for high risk countries and promotion of Security training. Management of KPMG’s security alerts per the Travel Security programme.

- Attendance at quarterly supplier reviews as required to update on key engagements over next quarter, and work with KPMG suppliers in regards to their fulfilment of their obligations to KPMG’s Sustainable Procurement programme, being an active supporter of the programme and educating our supplier base on requirements for the programme. Drafting bi annual supplier updates, introduction emails when joining programme to KPMG preferred supplier community.

- Liaise with KPMG’s Venue-Finding supplier to ensure that communications cover all elements of Travel and Venue Services, including liaising with the KPMG events team internally to run learning sessions on changes to the market place for Venues and process changes on a quarterly basis.

- Build relationships with the TMC operational team, providing them with updates as to details within each newsletters, help build FAQ’s from their feedback, highlight any KPMG specific training they may need and update the Communication Plan as necessary. Also including attendance at KPMG Travel team monthly operational team meetings to provide updates on communications past and future.

- Manage and own the annual Travel Survey to top bookers ensuring all stakeholder requirements are incorporated and in line with KBS expectations. Responsibility to track results year on year and identify areas for improvement to the travel programme.

- Working with the internal communications team to assist with the drafting of any Firm wide newsroom articles which may occur during change process, issue escalation or policy change.

The Travel Communications Manager is required to demonstrate the Skills & Behaviours expected of an Associate. In particular the position requires:

- Ability to work effectively in a culturally diverse team and adapt style of working to accommodate different country practices.

- Actively supporting the Procurement Leadership Team in their pursuit to improve the operations & performance of the department.

- Seeks clear understanding of the category strategy and wider procurement agenda and how this aligns with internal stakeholder requirements & goals.

- Takes personal responsibility for own projects and understands how they impact on the category team’s performance, delivery of category targets and achievement of communications plan.

- Ability to build relationships by selling the benefits of Travel and Venue Services to internal clients.

- Strong attention to detail is pivotal for this role
