Job DescriptionThe PMO Assistant Manager will work with IT Services to deliver value to the firm in accordance with the IT Strategy. The PMO with support delivery of the ITS Portfolio through leveraging and ongoing maintenance of the portfolio registers, project frameworks, methods, tools and technology, resources, project budget and cost reviews, initiation and planning.

The PMO Assistant Manager will sit within the Transformation Centre of Expertise for the Firm, focusing on servicing the ITS Portfolio. The TCoE focus is to deliver value and efficiencies to the Firm by professionalising the way we identify, assess and deliver internal change. The PMO Assistant Manager will form part of the Transformation CoE Team and will be a key point of contact for the change portfolio.

The Role:

Portfolio Delivery and Execution

- Responsible for maintaining the Project Portfolio Register administered through PPM tool
- Work with Programme level Management Offices to track, monitor and assure project activity
- Work with Portfolio Office lead to help define the Portfolio ensuring clear categorisation and prioritisation of projects. Support prioritisation and timing recommendations of projects using rules based assessment
- Support tracking the Firm’s spend on Projects and make recommendations to drive efficiency of spend
- Support the maintenance of central view of project resource and a capability register
- Contribute and maintain the Portfolio Risk Log, Action Log, Decisions Log, and Issue Register
- Work with projects and programmes to ensure the appropriate programme benefits are identified, quantified and their realisation planned
- Support the financial reporting process whilst ensuring that the programme and projects adhere to the corporate financial processes
- Ensure cross-programme dependencies are managed and the dependency log is accurately maintained
- Oversee project closure to distil good practice and ensure lessons learned are logged and applied
- Work across and build strong relationships with project and operational leads to understand and build project activities into a firm wide portfolio plan
- Oversight of the project methodology delivery cycle, liaising with the Quality management team to ensure project templates are maintained and relevant.

Governance and Reporting:

- Work with the Head of ITS, Technology Delivery Director and Portfolio Office Lead to define KPMG portfolio project reporting requirements, driving efficiency and consistency of approach
- Help support and prepare reporting for senior governance forums including the Technology Projects Oversight Group
- Work with Firm-wide governance owners to ensure forums are streamlined with clear terms of reference
- Engage with stakeholders across projects ensuring they meet governance requirements
- Escalate potential issues with proposed controls, to effectively mitigate impact
- Document governance meeting outcomes and actions, holding senior stakeholders to account as required
- Contribute to Portfolio financial and KPI information

Desired Skills & Experience :

- Experience operating within a portfolio office or enterprise level PMO
- Experience of maintaining and facilitating programme or portfolio level governance forums
- Involvement of resourcing or capacity management within larger project or programmes
- Proficient at producing and presenting senior executive level reports
- Able to handle complex programme dynamics and changing business priorities
- Experience working in a large and politically complex organisation
- Experience of managing the complete lifecycle of a project including planning, executing, controlling and closing projects and the ability to manage multiple projects simultaneously with minimal supervision
- Experience of project management using PRINCE2 methodology (or equivalent)
- Strong skills in creating and maintaining project and programme plans, including risks, actions, issues, dependencies
- Knowledge of benefits and dependency mapping, risk management and resource planning
- Highly proficient IT skills in Word, Excel, PowerPoint, and MS project
- Experience of working in virtual teams
- Excellent written/oral communication skills for reports and presentations
- Diplomatic ability to influence others
- Ability to build lasting relationships with key stakeholders
- Experience of Programme and project level financial management
