Job Description
Title: Leadership Secretary
Role type: 12 month FTC
Working hours: 9am - 5pm (Wed - Fri)
Location: CSQ 12th West

Role summary

This is a varied role with extensive involvement with ExCo community and allocation, high level of secretarial support and events organisation that would suit an energetic individual. The role requires an extremely high level of PA support, with a keen attention to detail, and a ‘perfectionist’ attitude.

The individual will be required to be flexible with their working hours, show high levels of enthusiasm, and have a real drive to get involved with the role.

The ideal candidate will have an extremely well established internal network, and outstanding knowledge of who’s who within the leadership teams. They must be resilient, adaptable, resourceful and proactive.

Purpose

The role requires the delivery of exemplary secretarial and administrative support. The individual will be required to understand, support, and contribute to the continued success of KPMG. The individual must have excellent interpersonal skills, demonstrate a proactive approach to their role and act with autonomy and discretion.

Key responsibilities

- Own and comprehensively manage complex diaries, using initiative to anticipate and resolve conflicts
- Own Partner/Director e-mail accounts and action as appropriate
- Proactively manage complex national and international travel itineraries, ensuring efficient use of time and minimal expenditure
- Travel to national and international meetings, where required, and note actions and minutes, as required
- Follow up and ensure the completion of action points following internal and external meetings
- Project manage corporate events, or similar activities
- Act as a role model and mentor junior colleagues
- Develop and maintain a good working knowledge of issues relevant to the sector or industry of your Partner/Director
- Exhibit resilience by remaining calm and positive in a highly pressurised work environment, maintaining professionalism at all times
- Always consider ways to reduce department costs, e.g. through effectively planning travel arrangements
- Provision of all secretarial duties to an exceptional standard, including expenses, SAP and correspondence matters
Client service

- Where necessary, review and improve processes to ensure an optimal service for Partners/Directors is delivered, advocating best practice in all areas of the role
- Understand the mindset of the Partners/Directors you support and make decisions on their behalf, where appropriate and necessary
- Maintain client focus by ensuring the needs of both internal and external clients are always at the forefront of your role
Communication and relationship building

- Build and maintain collaborative working relationships with all colleagues
- Adapt your working style to compliment the varying working styles and personalities of those you support
- Build and maintain effective working relationships with clients and client secretaries
- Utilise your internal and external networks to help you to solve problems and devise effective solutions
- Self-evident ability to build trust and persuade and influence, where appropriate and necessary
- Demonstrate a high standard of communication skills
Person specification

- Extensive previous experience working at Partner/Executive secretary level in a fast paced corporate environment
- Comprehensive understanding of the business of KPMG, its structure and its organisation
- Excellent interpersonal skills
- Exceptional organisation skills, with a very high degree of accuracy and an ability to prioritise an often conflicting workload
- Exercises confidentiality, discretion and personal sensitivity in all aspects of the role
- Confident in client and public situations
- Demonstrates flexibility and resilience
- Seeks to continuously develop in order to enhance and acquire knowledge, skills and expertise
- Proactive self starter who is able to work with minimal supervision
- Intermediate to advanced skills in Microsoft Word, PowerPoint, Excel and Outlook
- Fast and accurate audio/copy typing
- Minute taking/shorthand advantageous
- Good working knowledge of internal databases and systems including CRM, SAP, MyPD and KPMG Worksite
- 5 GCSEs/O’Levels or equivalent at grades A-C including English and Maths
