Service Line Information:

In the Business Support Group (BSG), you’ll be joining a team that provides vital secretarial and administrative support.

As a key member of the BSG team, you’ll enjoy a full range of responsibilities that will enhance your personal skills and enable you to add to your experience in new business areas. This gives you the opportunity to network with a variety of internal teams and external organisations, extending your skills, knowledge and expertise.

The Role
- Undertake administrative tasks for colleagues throughout the UK
- Answer direct telephone calls and customer service enquiries
- Build sustainable relationships and trust with customer accounts through open and interactive communication
- Provide accurate, valid and complete information by using the correct methods / tools
- Update our Client Relationship Management (CRM) system, inputting and amending contacts
- Book couriers
- Book travel and accommodation
- Book hot desks
- Liaise with Document Production (large print requests)
- Maintain Filesite / DMS (Document Management System)
- Request files from archives
- PowerPoint production
- Liaise with Create Graphic Services for client documents
- Produce Excel spreadsheets
- Copy and audio type (including bank letters / engagement letters)
- Arrange meeting rooms (including virtual meeting – Halo / WebEx / Net Meeting)
- Provide in-office client interface for agile working colleagues
- Scan, photocopy and bind documents (not via Document Production Centre)
- Label courier boxes and take them to the courier collection point
- Carry out any other ad hoc office-based administrative tasks / projects as and when required

The Person
- Proven customer or client support experience
- Ability to build strong relationships
- Takes time to learn about other people and their experiences
- Anticipates when others need support and offers help
- Seeks feedback on a regular basis to improve performance
- Gives constructive upward feedback
- Demonstrates flexibility when working on engagements
- Experience of working in a team environment would be an advantage
- Beginner to intermediate knowledge of PowerPoint, Excel and Word
- Ability to provide high levels of customer service
- Strong attention to detail
- Capability to prioritise own workload in a busy team
- Patient and empathetic
- Excellent communication skills
- Strong telephone contact handling and active listening skills
- Confident and assertive, with the ability to meet tight deadlines
- Extremely well organised, demonstrating the ability to pay close attention to detail
