Job DescriptionThe Team

KPMG Staff Pensions team has a vacancy for a Pension Administration Manager who will be part of the team that administers KPMG’S own Defined Benefit and Defined Contribution pension schemes.

The KPMG in house Staff Pensions team is a team of 12, including the Head of Staff Pensions, dealing with both the firm’s historic occupational schemes and its ongoing contract based schemes for new employees. The successful candidate will be expected to have their core focus on the legacy occupational schemes though they will be expected to develop their awareness and understanding of the issues facing the ongoing contract based schemes

Due to the history of the schemes and the nature of the scheme members there is a wide variety of work undertaken by the team. This involves working with the team and external providers and a range of other teams within KPMG. While established procedures are in place there is often a requirement to put together a non-standard solution in conjunction with the Head of Staff Pensions.

There is an opportunity to mould the team to the firm’s future requirements reflecting a number of planned retirements from the team over 2019.

The Role

As a Manager, you will be responsible for maintenance of your own work log and overseeing the team’s work logs to ensure that the work of the team is accurate and is produced in a manner that meets the clients’ expectations in line with KPMG procedures.

You will actively participate in the performance management for members of the team and deliver constructive feedback messages and ensure plans are implemented to support team members with development. Strong communication, a positive attitude and good organisation skills are essential for this role.

You will be required to build relationships with key stakeholders such as the independent trustee, service providers and within the wider KPMG business.


The key responsibilities will include:

- You will be responsible for maintenance of your own work log and overseeing the teams work logs to ensure disclosure requirements are met and work is completed within agreed service levels.

- Report to the Senior Manager each month on how the team is performing against the teams key tasks, and monitor the team’s activity
- Check the production of scheme stewardship reports, and make sure that all reports are produced for the schemes and that a high level of consistency/presentation is maintained
- Checking processing and setting up benefits either via the scheme and liaising with payroll as necessary, or via an annuity purchase.
- Checking calculation and processing of any increases to pensions in payment as applicable
- Check non-routine benefit calculations including divorce cases, annual allowance, lifetime allowance and executive members
- Monitor cashflow forecasts, processing of disinvestments and investments - also ensure these are completed for all schemes within the team within service levels/internal procedures agreed;
- Take responsibility for the completion of Event Reports and Accounting for Tax returns;
- Ensure that the team is meeting client’s expectations and that they are getting the service -and standard levels of delivery we are engaged to deliver.
- Maintain outlook personal and client inboxes, ensures requests are logged and dealt with within agreed service levels '
- Flag any errors or omissions to the Head of Staff Pensions and risk and compliance( as necessary) immediately upon discovery/notification.
- Take responsibility to ensure such matters are dealt with having followed guidance from the Head of Staff Pensions and risk and compliance.
- Check of the data/information to assist in the production of the scheme's accounts, actuarial valuations and group life re-broking as required on their scheme
- Check responses in writing to routine queries/requests from clients, members and other parties
- Ensure the team is resourced as required and work is distributed appropriately across the team
- Ensure the schemes' cashbooks for the team are maintained to a high level of accuracy
- Plan and oversees the management any project work being undertaken on your teams schemes
- Assist in the identification and processing of recruitment needs

The Person

Qualifications, Skills and Experience

- Ideally, you should already be a qualified APMI or near completion of this qualification
- Strong technical knowledge is essential.
- You should be experienced in all aspects of Pensions administration, and have strong experience of people management.
- You must have relevant experience in Pensions administration working as an administration manager in a consultancy based environment, or in-house arrangement.
- Strong track record of building strong relationships with clients through day to day contact and face to face client meetings and managing client expectations where necessary.
- You must be able to demonstrates a high level understanding of pensions legislation and schemes assigned to your team and ensure that work is completed to a high level of accuracy
- Prior experience of providing on the job training to the team where required
- Ability to manage conflicting priorities for yourself, within the team and from your clients
- Ability to provide open and honest feedback
- A good understanding of Excel including the ability to produce and check manual calculations and manipulation of data using formula
- Able to communicate complex pensions issues both internally to other client service team members as well as members and client
