In the Business Support Group (BSG), you’ll be joining a team that provides vital secretarial, administrative and creative services to support our client-facing teams.

As a key member of the BSG team, you’ll enjoy a full range of responsibilities that will enhance your personal skills and enable you to add to your experience in new business areas. This role is to provide high quality legal secretarial and administrative services to the Corporate Legal Services team consisting of 1 x Partner and 1 x Director (for Legal admin support only), 3 x Senior Managers and 3 x Assistant Managers (all qualified Solicitors) and 1 x Paralegal.

The Role:
• Efficient production of correspondence and legal documents, to a high standard and to meet deadlines. This may include the use of audio transcription and will include making amendments to documentation often through heavily handwritten mark-ups.
- Completion preparation
- Full diary and inbox ownership/management as required
- Coordinating internal and external meetings as required
- Drafting replies to incoming correspondence
- Attending meetings and taking minutes
- Meeting and greeting clients
- Carrying out research for client meetings
- Booking travel and accommodation, and compiling detailed itineraries
- Booking meeting rooms, equipment and catering (including virtual meetings – Skype for Business/WebEx/Net Meetings)
- Organising events when appropriate (Advocating the use of internal venues)
- Organising internal and external meetings/conferences/functions in person, via Video Conference and Skype for Business
- Taking messages and dealing with queries
- Updating our Client Relationship Management system (CRM)
- Copy and audio typing
- Producing Excel spreadsheets
- PowerPoint production
- Liaising with create graphic services for client documents
- Liaising with document production
- Ordering equipment
- Providing IT Access
- Submitting IT requests (creating distribution lists, folders etc)
- Creating bills and reports in our finance system
- Visa applications
- AMEX applications
- Ordering business cards
- Arranging couriers
- Maintaining Filesite/Document Management System (DMS)
- Any other ad-hoc duties as directed
- Liaising with the ASK team to aid with task delivery
- Providing holiday / sickness cover to other secretaries

The Person:
• High standard of communication skills
- adaptable and will have significant experience working as a legal secretary in a Top 50 law firm, along the ability to prioritise workload and a flexible approach to working arrangements.
- Experience of working in a fast-paced corporate environment
- Drive the ongoing development of a customer service culture across BSG and KBS as a whole, supported by effective and responsive customer service to embed best practice customer-centric behaviours
- Ability to work with minimal guidance and supervision
- Efficient organisation skills, with a very high degree of accuracy and an ability to prioritise an often conflicting workload
- Demonstrates flexibility and resilience
- Continuously seeks professional development opportunities in order to enhance and acquire knowledge, skills and expertise
- Intermediate to advanced skills in Microsoft Word, PowerPoint, Excel and Outlook would be desirable
- Able to Minute/Note take effectively
- 5 GCSEs/’O’ Levels or equivalent at grades A-C including English and Maths
- ILEX Legal Secretary Certificate and Diploma
